Privacy Policy

Abacus Consultancy Services (I) Pvt Ltd ("ACS", "we", "us", or "our") built RailParcels to help Indian Railway parcel lease holders automate their booking, loading, transit, and delivery operations. This Privacy Policy explains what information we collect through the RailParcels platform at railparcels.com and its associated web and mobile applications (the "Platform"), how we use and share it, and the choices available to Lease Holders, their Station Supervisors and staff, Customers, and other Platform users. By accessing or using the Platform, you agree to the collection and use of information as described here. If you do not agree, please do not use the Platform.

1. Information We Collect

We collect information in three broad ways: what you give us directly, what is generated as parcels move through your operation, and what your device or browser sends us automatically.

a. Account & Registration Information

  • Name, phone number, email address, and company/lease details supplied when a Lease Holder, Station Supervisor, Customer, Agent, or Accountant account is created or invited.
  • Login credentials and OTP verification records used to secure your account.
  • Role and station/train assignments configured by a Lease Holder for their team.

b. Operational & Booking Data

  • Parcel booking details — consignor and consignee names, phone numbers, addresses, article descriptions, declared and actual weight, piece count, and photographs uploaded during booking or receipt.
  • Station, train, coach, and route data entered by Lease Holders and Station Supervisors to manage capacity and manifests.
  • Billing information — chargeable weight, rates, GST details, invoices, e-way bills, payment type (PrePaid, To Pay, Running Account), and payment/collection records.
  • QR codes and tracking events generated as a parcel moves through booking, loading, transit, unloading, and delivery.

c. Automatically Collected Information

  • IP address, browser type, device identifiers, and access timestamps, used to secure and administer the Platform and diagnose issues. We do not link IP addresses to your identity beyond what is needed for these purposes.
  • Basic usage logs (pages viewed, actions taken) collected for analytics and troubleshooting.

2. How We Use Information

We use the information above to:

  • Operate the Platform — create and manage accounts, process parcel bookings, generate manifests, invoices, and e-way bills, and track parcels through their lifecycle.
  • Communicate with you — send booking confirmations, OTPs, status updates, and support responses via SMS, WhatsApp, email, or in-app notification.
  • Maintain security — detect unauthorised access, prevent fraud, and enforce our Terms & Conditions.
  • Improve the Platform — understand usage patterns and diagnose technical issues.
  • Meet legal and regulatory obligations, including GST invoicing, e-way bill generation, and record-keeping required under Indian law.

3. How Information Is Shared Within Your Organisation

RailParcels is a multi-role platform. Data you enter is visible to other roles strictly as needed to run your operation — for example, a Customer's booking is visible to the Station Supervisor who accepts it and the Lease Holder who owns the route; a Lease Holder can see all bookings, staff, and billing records across their leased stations and trains; a Super Admin account (used by ACS for platform oversight) can view cross-tenant summary data to operate and support the Platform. We do not allow one Lease Holder's operational data to be visible to another, unrelated Lease Holder.

4. Sharing With Third Parties

We do not sell your personal information. We share information only where necessary to provide the Platform or as required by law:

  • Payment gateways — to process online payments, in accordance with applicable Reserve Bank of India (RBI) guidelines. RailParcels does not store full card or bank credentials; these are handled by the gateway provider.
  • SMS / WhatsApp / email providers — to deliver OTPs, booking confirmations, and status notifications.
  • Hosting and infrastructure providers — to store and run the Platform securely.
  • Government and regulatory authorities — where required for GST, e-way bill, or other statutory compliance, or in response to a valid legal request.
  • Indian Railways — where a Lease Holder's leave/lease licence requires reporting of parcel or capacity data to the relevant railway authority.

Any third-party service integrated with the Platform operates under its own privacy practices; we encourage you to review them. RailParcels is not responsible for the privacy practices of external sites linked from the Platform.

5. Data Security

We maintain administrative and technical safeguards designed to protect information under our control from loss, misuse, and unauthorised alteration. Platform data resides behind a firewall, with access restricted to authorised ACS personnel and role-based access controls within your organisation. Passwords are stored in hashed form, and sensitive actions (such as sign-in) are protected by OTP verification. No method of electronic storage or transmission is completely secure, and we cannot guarantee absolute security, but we work to keep the Platform's safeguards current.

6. Data Retention

We retain booking, billing, and account records for as long as your account is active and thereafter for the period required to meet accounting, tax (including GST), and other legal obligations under Indian law, or to resolve disputes. When a Lease Holder's subscription ends, we retain their operational records for a reasonable period to allow export or regulatory compliance before deletion or anonymisation, unless a longer retention period is required by law.

7. Your Rights & Choices

You may:

  • Access and update your account information directly within the Platform, or by contacting your Lease Holder administrator (for Station Supervisor and Customer accounts) or ACS (for Lease Holder accounts).
  • Request a copy of the personal information we hold about you, or request correction of inaccurate information, by writing to us at the contact below.
  • Request deletion of your account, subject to our obligation to retain records required for legal, tax, or dispute-resolution purposes.
  • Opt out of non-essential notifications (such as promotional messages) while continuing to receive operational alerts (such as OTPs and booking status updates) needed to use the Platform.

8. Cookies & Similar Technologies

The Platform uses essential cookies and browser local storage to keep you signed in, remember your theme preference, and maintain session state. We do not use these technologies for third-party advertising. You can control cookies through your browser settings, though disabling essential cookies may prevent parts of the Platform from working correctly.

9. Children's Privacy

The Platform is intended for business use by adults — Lease Holders, their staff, and adult Customers. We do not knowingly collect personal information from anyone under 18. If we become aware that we have inadvertently collected such information, we will take steps to delete it.

10. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes to the Platform or applicable law. Material changes will be notified via the Platform or by email. Continued use of the Platform after changes take effect constitutes acceptance of the revised policy.
